You placed your autograph order, prepared your memorabilia, and are ready to ship everything to the signing.
Before you tape that box shut, take a few minutes to double-check everything.
A simple autograph signing shipping checklist can prevent many of the problems we see with mail-in autograph orders: missing items, incorrect autograph quantities, missing inscriptions, unclear signing instructions, improper packaging, and packages that arrive after the deadline.
The goal is simple:
Make your submission so clear that someone who knows absolutely nothing about your item can understand exactly what needs to be done.
We call this dummy-proofing your item.
Here is what you should check before shipping sports memorabilia to Powers Sports Memorabilia for an autograph signing.
This sounds obvious, but start here.
Compare the items you're shipping with the order you placed.
If your order includes three items, make sure all three items are physically inside the package before sealing it.
Don't rely on memory.
Lay everything out and compare it against your order one final time.
Before shipping, confirm:
This simple check can save a lot of time later.
Next, compare your items and instructions with what you actually purchased.
Make sure you ordered the correct number of:
For example, don't request authentication on your item if authentication wasn't purchased.
The same applies to inscriptions.
If your requested inscription requires purchasing additional inscription options, make sure those were included in your order.
Your physical instructions and your online order should match.
Proper labeling is one of the most important parts of preparing sports memorabilia for an autograph signing.
Don't assume we'll know what you want.
Your labeling should clearly communicate your signing instructions.
Depending on the item and order, include information such as:
Your name
Order number
Pen color
Pen type, when necessary
Where you want the autograph
Inscription instructions
Authentication instructions
Think about your item from the perspective of someone who has never seen it before.
Could that person look at your instructions and know exactly what you want?
If yes, you're ready.
If not, add more information.
This is an easy mistake to avoid.
If you want an athlete to sign a particular area, don't cover that area with tape or instructions.
Put your labeling off to the side.
Leave plenty of open space for the athlete to comfortably sign the item without removing or repositioning your notes.
This is especially important when requesting specific autograph placement.
You want the athlete to be able to immediately see where the autograph belongs and have enough space to sign it.
Make sure we can easily identify who the package belongs to.
Your order number is especially important because it allows us to connect the physical memorabilia with your autograph order.
Include your order number with your item instructions and submission paperwork.
We also recommend including your order number on the shipping label when possible.
The easier you make it for us to identify your package, the easier it is to process your submission when it arrives.
Before sealing the box, make sure you've included your required submission form.
Your submission form provides another way for us to match the items in your package with the order you've placed.
Put it somewhere easy to find when the package is opened.
Don't bury important paperwork underneath layers of packaging.
Before shipping sports memorabilia, make sure each item is properly protected.
Different collectibles require different packaging.
For jerseys, helmets, footballs, basketballs, baseballs, and other memorabilia, we generally recommend placing a clean protective bag around the item when appropriate.
This is particularly important if your collectible already has autographs on it.
For flat items such as cards and photos, use rigid protection.
Cards should generally be protected with a penny sleeve and an appropriate rigid holder such as a Card Saver or top loader. Add sturdy cardboard around flat items to help prevent bending.
The important question is:
Could this item be damaged if the package is dropped, crushed, bent, or moved around during shipping?
If the answer is yes, add more protection.
We strongly recommend shipping autograph submissions in a sturdy box whenever possible.
Mailers can bend.
Boxes generally provide significantly better protection.
If you're sending a flat collectible and decide to use a mailer, use enough rigid cardboard to make the package extremely difficult to bend.
Remember our simple rule:
If you can bend it, the shipping company can bend it.
Protect your collectible accordingly.
Before purchasing your shipping label, consider the value of the memorabilia you're sending.
If you want the package insured while traveling to us, make sure you purchase the appropriate insurance when creating your shipping label.
This can be especially important when shipping expensive collectibles or items that already contain valuable autographs.
Don't wait until after the package has shipped to think about insurance.
Make that decision before handing the package to the carrier.
Always use a shipping service that provides tracking.
We generally recommend UPS whenever possible because we've found its tracking and transit times to be more consistent for autograph submissions.
Keep your tracking information until your package has been delivered and received.
Tracking is especially important when you're shipping close to an autograph signing deadline.
This is extremely important:
Your item needs to ARRIVE by the mail-in deadline.
The deadline is not the date you should ship the package.
If your signing deadline is two days away but normal ground shipping from your location takes four days, ground shipping isn't going to work.
You may need to purchase an expedited shipping service.
Don't wait until the last minute.
Check the deadline, check the estimated transit time, and give yourself extra time whenever possible.
Shipping early is almost always better than trying to time your package to arrive on the final day.
You generally do not need to send us a pen.
We have a wide selection of pens available for autograph signings.
However, some collectors have a very specific or unusual pen they absolutely want used.
If there is a special pen you want used on your collectible and you don't want an alternative, include that specific pen with your submission and clearly label the instructions.
Otherwise, there is generally no need to send pens with your item.
Before sealing your package, run through this checklist one final time:
Take an extra minute and check everything again before sealing the box.
If you remember only one thing from this checklist, remember this:
Dummy-proof your item.
Imagine giving your package to someone who knows nothing about your collectible or your order.
Could they open the package and immediately determine what needs to be signed, where it should be signed, what color should be used, what inscriptions are requested, whether authentication is needed, and which order the item belongs to?
If the answer is yes, you've prepared your autograph submission correctly.
Clear instructions, proper packaging, accurate ordering, and shipping early make the entire process easier—and help us get your memorabilia signed exactly the way you want it.
Confirm that all items are included, your autograph order is correct, all requested inscriptions and authentication have been purchased, each item is properly labeled, your submission form is included, and everything is securely packaged.
Include your name, order number, requested pen color, autograph location, and any applicable inscription or authentication instructions.
No. Keep tape and instructions away from the signing area. Leave enough open space for the athlete to sign without moving your labels.
Yes. Include your order number with your submission and on the shipping label when possible so your package can be quickly matched to your order.
We strongly recommend using a sturdy box whenever possible. Boxes generally provide better protection against bending, crushing, and shipping damage.
If you want insurance while your item is traveling to us, purchase the appropriate coverage through your shipping carrier before sending it.
We generally recommend UPS because we've found its tracking and delivery times to be more consistent for autograph submissions.
Your item needs to arrive by the stated mail-in deadline. Always check transit times and ship early enough to ensure delivery.
Usually, no. We have a wide selection of autograph pens. If you require a very specific or unusual pen, however, include it with clearly marked instructions.
It means providing enough clear instructions that someone unfamiliar with your order could immediately understand exactly how the item should be signed.
